Two decisions shape everything else: your budget and your guest list.

Begin by identifying your top ten non-negotiables, then create two guest lists: an A list of must-haves and a B list of people you would love to include, provided space and budget allow.

Work backwards from your venue’s per-head cost to determine your actual spend. Planners often track spend per guest to see where their clients are investing most. This exercise makes every dollar feel intentional.

Ask about alteration timelines and consider a second look sourced through rental or resale for effortless movement on the dance floor.

Day 6: Build Your Dream Team

The right vendors make your day run smoothly, while the wrong ones add stress.

Ask every potential vendor these planner-approved questions: Have you worked at this venue before? What happens if you are sick? What exactly is included in your package, and what happens if the day runs overtime? Can you show me a complete wedding gallery, not just highlights? Interview your top choices within the same week so you can compare them like for like and utilise their networks. Photographers know the best planners, and florists know the easiest venues.

Day 7: Decor That Creates Impact

Planners do not style every corner.

They focus on one or two key moments, such as a ceremony arch or a reception tablescape, layered with candlelight and sculptural florals.
Use your three style words to guide decisions and keep your moodboard to ten strong images. Ask your venue about the décor they already include to avoid double spending, and reuse ceremony florals in the reception space. The result is a wedding that feels intentional and cohesive.

Day 8: Invitations and Communication

Your invitations set the tone long before your guests arrive.

Decide whether to include parents’ names; that detail alone shifts the tone from formal to modern. Consider how to effectively communicate dress codes and side events, such as welcome drinks or recovery brunches. Clear RSVP instructions, digital or printed, will save you chasing responses. Your stationery suite is more than logistics; it is part of your wedding story.

Day 9: Final Preperations

The day before your wedding should feel calm, not chaotic.

Confirm your run sheet with every vendor and share it with your bridal party. Pack an emergency kit with fashion tape, safety pins, perfume, and pain relief. Assign one trusted person to handle last-minute questions so you can focus on the moment. Review your seating plan and double check dietary requirements. This is about protecting your peace before the day begins.
